How to get an Iron Mountain invoice

The easiest way to get an Iron Mountain invoice is Invoice Gateway, the online billing portal for records management and shredding customers. Log in, then in the Open or Closed tab click the PDF icon next to the invoice you want. Invoice Gateway keeps invoices from up to a year back. If you have not signed up yet, the enrollment code is printed on your monthly invoice.
Copies of invoices from Invoice Gateway
- Log in to Invoice Gateway (there are separate links for the USA and Canada).
- Open the Open tab for unpaid invoices or the Closed tab for paid ones.
- Click the PDF icon beside the invoice to view, download or print it.
To save several at once, tick the boxes in the left column and click Print or Download. To get the PDF with every email notification, go to Settings and tick "Attach a PDF copy of the bill to email notifications".
Signing up with the enrollment code
Iron Mountain is moving all customers to Invoice Gateway and away from paper. The enrollment code sits at the bottom right of the first page of your monthly invoice. Open Invoice Gateway, click Sign Up Now, fill in the form and click Sign Up. An activation email follows from IronMountainBillingServices@billtrust.com; click Activate Your Account in it.
Reading an Iron Mountain invoice
The account overview shows the invoice number and date, the service period, your Account Id, a Tax Id, any PO number, the total due and the due date. Charge details list each service with quantity, rate and amount, then subtotal, tax and any late fee on a past-due balance. A balance activity summary closes the invoice. Accounts with several sites also show a Site Id for each.
Paying and autopay
Go to ironmountain.com/login and scroll to Bill Payment Options. Three portals are listed: Invoice Gateway (records management and shredding), online credit card payment, and SecureSync (data management). Have your Customer ID, the amount, invoice numbers, payment details, billing address and email ready. All three offer Auto-Pay, and Iron Mountain names ACH direct debit as its preferred method. Autopay still produces an invoice each month, and that invoice is the record to keep. Paying by check? Include the remittance advice, or write the invoice number on the check.
Iron Mountain invoices beyond the one-year window
Invoice Gateway holds about a year, and storage contracts run far longer. With bill fetching, our AI agent signs in to Invoice Gateway each month, downloads the new PDF and keeps it after it ages out. Notification emails with the PDF attached are read by email receipt capture, and storage and shredding costs can be split by site in reports.
