Enterprise expense management for finance teams

Single sign-on, SCIM provisioning, role-based access and separation of duties, set up once and evidenced on every record across your entities and currencies.

A finance team listening to a presentation in a boardroom

Smartbills provisions access from your identity provider, separates duties and keeps every approval on record, with no extra enterprise tier to unlock it.

Provisioning and deprovisioning from your IdP

Single sign-on and SCIM provisioning run against the identity provider you already use. Joiners get the right access and leavers lose it, without a ticket in either direction.

  • SSO against your existing IdP
  • SCIM provisioning and de-provisioning
  • Role-based access, with roles you can review

Audit evidence stored on the record it supports

Every approval, policy result and posting is kept with the record it applies to. When audit asks for an item, you look it up and hand it over.

  • Approval chain retained on the record
  • Audit log export on demand
  • Separation of duties built in, with no off switch

Why teams switch

The controls are written down. Proving them is the hard part.

Access is granted by hand and revoked whenever somebody remembers to raise a ticket.

SCIM provisioning creates and removes access straight from your identity provider, so a leaver loses access the same day they're removed there and nobody has to chase it.

Separation of duties is written into a policy, and we can't prove anyone followed it.

Approving an invoice and releasing its payment are separate permissions, and each is recorded against the record it acted on, which lets you show the control working on real transactions.

Every audit request means pulling evidence out of four systems against a deadline.

The document, the approval chain and the resulting posting are stored and retrieved together. Producing one item from three years ago comes down to a search.

FAQ

Frequently asked questions

What people ask us before they sign up.

Standard SSO and SCIM providers are supported. The question that matters in diligence is whether de-provisioning is automatic, and it is: when someone is removed in your identity provider, their access here goes too, with no separate step.

Approving an invoice and releasing its payment are separate permissions held by different people, and an approver can't release an invoice they approved. It's a design constraint with no setting to change, because in practice a configurable version tends to get left switched off.

Yes, on demand. The real test of an audit trail is producing one specific item years later. The document, the approval and the entry come back together. Nobody has to stitch three exports into one.

Each entity has its own currency, chart of accounts and close status, and consolidates without an export. Foreign currency transactions record the exchange rate used on the entry itself. When someone later asks about a translated figure, the answer is already attached.
