Email receipt capture for any mailbox

Connect Gmail or Outlook once. Email receipt capture finds every receipt and invoice in your inbox and reads the merchant, date, amount and tax.

Connect your mailbox

Pick your email provider to connect it in Smartbills. New here? You create your account first, then come straight back to this step.

Smartbills checks your mailbox on a schedule, Spam and Archive included, and reads each receipt into merchant, date, amount and tax.

Receipt capture from the mailbox you already use

Gmail, Outlook, Microsoft 365 and Zoho Mail connect over OAuth 2.0: you approve access on your email provider's own consent screen and never give us your password. Any other provider connects over IMAP.

  • Gmail, Outlook, Microsoft 365 and Zoho Mail over OAuth 2.0
  • Any other provider over generic IMAP
  • Synced roughly every 30 minutes

Found in the folders nobody opens

By the time you go looking, most emailed receipts have left the inbox. They got archived, filtered as promotional or left sitting in Sent, and Smartbills reads all of those folders.

  • You choose the folders: Sent, Archive, Spam or your own
  • An invoice filtered as promotional is still found
  • Older mail is scanned too, as well as anything new

An email in, a coded document out

Smartbills first sorts real receipts and invoices from shipping notices and other mail, then reads whatever qualifies into merchant, date, amount and tax.

How email receipt capture works

  1. Connect a mailbox

Authorize Gmail, Outlook or Zoho Mail, or add an IMAP account, then choose which folders Smartbills may read.

  2. It syncs on its own

About every 30 minutes, across the inbox, Sent, Archive and Spam, and less often when nothing new comes in.

  3. Only receipts are kept

Receipts and invoices are picked out and everything else is left alone. A short note tells you how many were found.

  4. Read into fields

Attachment or email body, each one is read into merchant, date, amount and tax, then joins your other receipts.

Frequently asked questions

What people ask us before they sign up.

Email receipt capture automatically collects the receipts and invoices that arrived in your mailbox. You don't have to photograph or download them by hand. Smartbills checks the mailbox on a schedule, picks out the receipts and invoices, and turns each one into fields (merchant, date, amount and tax) that you can code and search.

Automatic receipts come itemized from the store's point of sale the moment you pay, while email capture works on what lands in your mailbox later: online orders, software subscriptions and emailed supplier invoices. A taxi paid in cash sends no email at all, which is why most teams end up using both.

Bill fetching logs in to a supplier's portal and downloads an invoice that was never sent to you, while email capture reads a document that was sent to you and then forgotten. A utility that only posts bills on its portal needs fetching; a supplier that emails you a PDF every month needs email capture.

Gmail, Outlook, Microsoft 365 and Zoho Mail connect over OAuth 2.0. You authorize Smartbills on your provider's own consent screen and never type a password into ours. Any other provider connects over standard IMAP.

Your data is resident in Canada and we don't sell it. Some tools in this category make their money by collecting the transaction data they find and selling it on. Smartbills charges for the software instead, and access to a connected mailbox is used only to find receipts and invoices.

Nothing. Smartbills leaves conversations, newsletters, calendar invitations and shipping notices alone, and only receipts and invoices are read into fields.

Yes. When you connect a mailbox you choose the folders to scan (the inbox, Sent, Archive, Spam or folders you made yourself) and nothing outside them is read. A receipt that never came by email can still be uploaded or photographed in the mobile app.

Yes, that's what email receipt capture does. Connect Gmail, Outlook, Zoho Mail or an IMAP account once and Smartbills checks it about every 30 minutes, picks out the receipts and invoices, and reads each one into merchant, date, amount and tax. You don't forward anything or download attachments by hand.

Connect your mailbox to Smartbills and connect QuickBooks Online or Xero on a paid plan. Receipts found in your email are read, categorized and synced to your books with the original document attached, next to the receipts you photograph in the app.
