How to get a Herc Rentals invoice

The Invoices tab

Invoices carry one of three statuses: Open (not paid), Partial Paid, and Paid. The All Invoices view shows open, partially paid and closed invoices from the last 6 months; Specific Invoices shows only open and partially paid ones. Click Change to set a different date range, and the Download button to export the list as PDF or Excel.

Reading Herc invoice numbers

Herc invoice numbers follow a 9-digit, hyphen, 3-digit pattern. That format is how you tell an invoice from a rental contract number at a glance. Some invoices also carry a primary purchase order number.

Opening one invoice

Click the arrow at the far right of a line to see the details. Scroll for the job number, job site, servicing branch, equipment on rent and invoice totals. The three-dot menu on each invoice offers Pay, Download, Email and Manage purchase orders. You can also pay and download at line-item level.

Paying Herc invoices

Select invoices and click Pay Invoices to pay several at once; a new tab opens on BillTrust to collect payment. Invoices can also be paid in the Herc Rentals mobile app. Paying on BillTrust closes the balance, while the invoice in ProControl remains the record of the rental.

Purchase orders and corporate accounts

Manage Purchase Orders lets you add POs to an invoice, set split percentages and star the primary PO. For a corporate account, select more than one subsidiary account in the Account drop-down and click Apply for a combined view of all invoices. Questions go to Herc at 888-777-2700.

Herc invoices beyond six months

The All Invoices view looks back six months by default. With bill fetching, our AI agent signs in to ProControl, downloads each new invoice PDF and keeps the full history. Invoices emailed from the three-dot menu are read by email receipt capture, and rental costs split by PO appear in reports.
