How to download Calendly invoices
Founder & CEO, Smartbills
2 min read
To download a Calendly invoice, go to Settings, then Billing, scroll to the transaction history and select the invoice icon beside the transaction. Only owners and admins can see billing. Add your tax information and billing address first: they appear on new invoices, not on past ones.
Where the invoice icon is
- Go to Settings, then Billing (on some accounts, under Admin).
- Scroll to the transaction history.
- Select the invoice icon next to the transaction. The file downloads to your computer.
If an invoice is missing, contact Calendly support to request a copy.
How tax is worked out
Calendly uses your billing address to decide the tax and the rate, or your company address if you have one on file. Canadian GST, HST and provincial taxes can apply, and so can GST in Australia. A valid VAT number generally means no VAT is charged.
Adding a tax ID and address
Under Settings, Billing, add or edit your details in the Tax Information section, and edit the billing address under Billing information. Both appear on new invoices only; for an older invoice, contact support. If a change seems saved but does not show, refresh or sign out and back in.
Who gets the invoice email
By default, invoices go to the organization owner's login email. Support can add a billing contact, such as your bookkeeper, and a second billing email to receive invoice and payment emails.
Several charges?
Each paid Calendly account is billed separately, which is why one team can see several charges.
Calendly invoices arriving where finance looks
Ask support to add a billing contact that email receipt capture reads, and every Calendly invoice email is filed with its tax. If several people pay for their own Calendly accounts, connect each owner login and our AI agent signs in and downloads the invoices from transaction history through bill fetching. Subscription tracking then shows how many separate Calendly plans the company is paying for.
