Graybar

Graybar invoices are in Invoice History on graybar.com, a feature for company account users. Log in and choose Invoice History from the drop-down menu or the Quick Access section on the homepage. Click an invoice number to open it as a PDF you can save or print; to pay, use Graybar BillPay, a separate site with its own login.

Invoice lookup and filters

  • Date range: last 30, 60 or 90 days, all records or custom dates.
  • Status: paid or unpaid.
  • Type: invoices or credits.
  • Account and invoice number, for an exact match.

Sort the results ascending or descending, then click Download List to export them to a CSV file. If you have been idle for 30 minutes, Graybar may ask you to sign in again.

Invoice numbers on web orders

In Order History, filter by Web Order and open the order number. View Tracking & Invoices shows the ship date, delivery number, who signed, shipping method, ship-from location and the invoice number. That invoice number is the bridge between an online order and the PDF in Invoice History.

Paying in Graybar BillPay

Graybar BillPay at billpay.graybar.com shows your bills and account balances and takes payments. It requires a separate username and password for security, and like Invoice History it is limited to company account users. Card buyers pay at checkout instead: Graybar accepts Visa, Mastercard, American Express and Discover in the United States and places a $1.00 pre-authorization on the card. Company accounts may buy on account depending on their contract terms.

Sales tax on the invoice

Tax shown when you place an order is an estimate based on the shipping address. The final tax is calculated when the order ships and your account or card is charged, and for company accounts the selected account sets the taxability. Use the invoice, not the order screen, for the tax figure.

Graybar invoices downloaded as they post

Electrical contractors often split one Graybar order across several shipments, each with its own invoice. Connect your graybar.com login and our AI agent signs in to save every new invoice from Invoice History through bill fetching. Invoices emailed to accounts payable are filed by email receipt capture, and each shipment lands on the right expense report.
