How to organize receipts, paper and email, for a small business

Record keeping

Most businesses don't lose receipts because they're careless. They lose them because receipts arrive in too many places: a slip in a coat pocket, a PDF in one inbox, an order confirmation in another, a bill that only exists on a supplier's website. Organizing receipts is mostly about bringing all of those into one place and giving each one a name you can find again.

Pick one place for every receipt

Choose a single home: a cloud folder, your accounting software or a receipt app. Paper gets photographed into it, email gets saved or forwarded into it, and portal bills get downloaded into it. The rule is simple: if a receipt isn't there, it doesn't exist. Two places is how the March phone bill ends up in neither.

A folder and naming system that scales

Folders by year, then by month, work for almost everyone, because that's how you'll look for them at tax time and when you check your statements. Name each file the same way:

Date first, because the files then sort themselves; then the merchant; then the total. With that pattern you can find any receipt from a card statement line in seconds, without opening a single file. If you track by category or client, add it to the end of the name rather than creating a folder for each one.

Organizing email receipts in Gmail

Gmail can file receipts for you with a filter. In Gmail on a computer:

  1. Click Show search options in the search box.
  2. Enter what identifies a receipt. In the Has the words field, a search such as subject:(receipt OR invoice OR order) catches most of them, and has:attachment filename:pdf narrows it to PDF invoices.
  3. Click Search to check which emails match, then Create filter.
  4. Choose Apply the label and create a label such as Receipts. You can also have the filter skip the inbox.
  5. Click Create filter.

Add the senders you buy from most with from: so their receipts are caught even when the subject line is vague. To find older receipts, search the label with after: and before: for the month you're closing.

Organizing email receipts in Outlook

Outlook does the same with rules. In Outlook on the web, go to Settings, then Mail, then Rules, and select Add new rule. Name it, add a condition (such as the subject including receipt or invoice, or the message coming from a supplier) and an action that moves it to a Receipts folder, then save. In the new Outlook for Windows you can also right-click a message, choose Rules and then Create rule. A rule works on new mail; in the new Outlook for Windows, Run rule now applies it to what's already in your inbox.

Keep the email, not a printout

A receipt that arrived by email is already the original. The CRA says records created electronically have to be kept in an electronically readable format, even if you also have paper printouts. Printing the PDF and deleting the email gets it backwards. The IRS takes the same view: everything that applies to paper records also applies to electronic ones.

Paper is the opposite case. A clear image of a paper receipt can replace it, as long as it's complete and readable for the whole retention period. Photograph thermal receipts the day you get them, because the print fades with time, heat and light. And back up the folder somewhere other than your phone.

Match receipts to your statements each month

Once a month, go down your card and bank statements and check that every line has a receipt in the folder. The naming pattern makes this quick: the date and amount on the statement point straight to the file. What's missing is easy to request from a merchant a few weeks later, and much harder a year later. Our guides to getting receipts from specific stores and apps cover where to find the most common ones.

Let your mailbox organize itself

Filters only catch the receipts they were written for, and they leave you to download, rename and file each one. Email receipt capture does that part. Connect Gmail, Outlook, Zoho Mail or any IMAP account, choose the folders (Archive, Sent and Spam included), and Smartbills checks them about every 30 minutes, sets aside shipping notices and newsletters, and reads each receipt and invoice into merchant, date, amount and tax. Bills that only live on a supplier's site come in through bill fetching, and paper goes in through the Smartbills app. Everything ends up in the same list.

Frequently asked questions

Keep every receipt in one place, organized by year and month, and name each file with the date, merchant and total. Photograph paper receipts the day you get them, file email receipts with a filter or rule, and check them against your statements every month.

Create a filter: open Show search options, search for receipt emails (for example subject:(receipt OR invoice OR order)), click Create filter, and choose Apply the label with a label such as Receipts. Add the senders you buy from most so their receipts are caught too.

It's better not to. The CRA says records created electronically must be kept in an electronically readable format even if you have a printout. Keep the email or its PDF for the full retention period.
