Subscription management

Tracking and controlling a company's recurring subscriptions, especially software. It knows what it pays for, who uses it and when each renews.

In short

  • Subscriptions spread across cards, expense reports and invoices. No one sees the full list.
  • Unused seats, duplicate tools and forgotten auto-renewals are the main sources of waste.
  • An owner and a renewal date for every subscription is the foundation.

Subscription management is the practice of keeping recurring charges under control. In most businesses the biggest category is software, but it also includes data services, memberships, media and any service billed monthly or annually.

Why it gets out of hand

Subscriptions are easy to start and easy to forget. An employee signs up for a tool on a card, a team buys a second tool that does the same thing, someone leaves and their seats keep renewing, and an annual contract renews automatically because nobody saw the notice window. Because the charges come through cards, expense reports and supplier invoices, no single report shows them all.

What good management looks like

  • Inventory: one list of every subscription, built from cards, expenses and AP.
  • Ownership: a named owner responsible for each one.
  • Renewal dates: tracked with enough notice to renegotiate or cancel.
  • Usage: seats and licences compared with actual users.
  • Payment controls: a dedicated virtual card per subscription, with a limit. Price increases and unwanted renewals surface immediately.

Accounting for subscriptions

Monthly subscriptions are expensed as they are billed. Annual subscriptions paid up front are prepaid expenses and should be spread over the months they cover. The month of payment doesn't carry a year of cost.

Worked example

A subscription audit

A 120-person company builds its first subscription inventory from card, expense and AP data and finds 146 active subscriptions costing $38,400 a month. Three project management tools overlap, 22% of paid seats haven't been used in 60 days, and four annual contracts renew within the next quarter. Consolidating tools and removing unused seats cuts the monthly total by $7,900.
