Virtual card

A card number issued digitally, often for a single supplier, purchase or subscription, with its own limit and expiry.

In short

  • Each supplier or subscription can get its own number. One leak or cancellation affects only that spend.
  • Limits and expiry dates can be set per card, which is a strong control on recurring charges.
  • It still needs a receipt matched to each charge.

A virtual card is a payment card that exists only as a number, expiry date and security code, with no plastic. Businesses create them on demand, usually for a specific purpose: one card for an advertising account, another for a software subscription, a single-use card for a one-off supplier payment.

Why businesses use them

  • Control: each card can have its own spending limit, merchant restriction and expiry date. A card set to $49 a month for one tool cannot be charged $490.
  • Cancellation: ending a subscription can be as simple as freezing its card, rather than trusting the vendor's cancellation process.
  • Security: if a supplier suffers a breach, only that one card number needs replacing.
  • Attribution: spending on each card belongs to a known owner, department and purpose.

Single-use and multi-use

Single-use cards work once and then close, which suits one-off supplier payments. Multi-use cards stay active for recurring charges. Some accounts payable teams also pay supplier invoices with single-use virtual cards, sent to suppliers that accept card payments.

A virtual card controls where money goes, but it does not replace the receipt. Each charge still needs its invoice or receipt for tax and bookkeeping.

Worked example

One card per subscription

A marketing team creates a virtual card for its email platform with a $120 monthly limit. When the vendor raises its price to $149, the charge is declined and the team gets an alert. It reviews the plan, decides to downgrade, and raises the limit only for the one month needed to switch.
