Smartbills vs Volopay

Volopay puts prepaid cards, reimbursements and payments in one platform. Smartbills starts from the receipt: it arrives from the merchant or the mailbox, with each line and its tax, whatever card paid.

At a glance

Smartbills vs Volopay, in one screen

Volopay is a spend management platform with prepaid Visa corporate cards, unlimited virtual cards, multi-currency wallets, employee reimbursements, bill pay with multi-level approvals and transfers to more than 130 countries. It has a page for Canadian businesses, syncs with NetSuite, Xero, QuickBooks, Tally, MYOB and Deskera, and lets employees scan and upload receipts in its mobile app. Pricing is quoted by sales.

Smartbills

Best for

Canadian and US companies that want receipts from merchants and mailboxes, with sales tax per line, on top of the cards and bank accounts they already use.

Where it's stronger

  • The itemized receipt comes from the merchant or the mailbox, not only from a scan.
  • GST, HST and QST on each receipt line, for Canadian input tax credits.
  • No new card program to roll out: your existing cards and accounts feed in.
  • Mileage at flat or CRA tiered rates on the same expense report.

Volopay

Best for

Companies that want prepaid corporate cards, vendor payments and international transfers from one provider across several countries.

Where it's stronger

  • Its own prepaid Visa cards, physical and virtual, which Smartbills doesn't offer.
  • Multi-currency wallets and transfers to more than 130 countries.
  • A wider list of accounting tools, including Tally, MYOB and Deskera.
  • Support around the clock by chat, phone and WhatsApp.

Moving from Volopay

None of this needs a big-bang cutover. Most teams run both tools for one cycle and compare capture rates before switching anyone off.

  3. Set policy and approvals

Rules by category, amount, vendor and cost centre, routed to the right approver by amount.

Coded expenses post to QuickBooks, Xero, Sage or NetSuite with the receipt attached.

FAQ

Frequently asked questions

What people ask us before they sign up.

No. Smartbills works with the cards and bank accounts you already have. If you want a prepaid card program with multi-currency wallets, Volopay offers one.

Volopay has pages for Canadian businesses and says a Canadian business needs to be a registered company to sign up. Its pricing page doesn't list prices and sends you to sales.

Smartbills reads GST, HST and QST from each line of the receipt. Volopay's pages don't describe tax extraction from receipts.
