Expense management software for UAE businesses

Keep VAT, supplier details and tax invoices with every UAE business expense. Smartbills helps your team separate entertainment and other costs before the return.

Smartbills keeps each receipt, its VAT, the supplier's TRN and the category together.

VAT and the category that decides recovery

Every receipt keeps its 5% VAT and the supplier's tax registration number (TRN), and each line keeps its category. Entertainment for guests and other blocked expenses are set apart from recoverable spend.

  • VAT kept per receipt, as charged
  • Supplier TRN kept with the receipt
  • Blocked entertainment set apart

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the way home.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the receipt attached and the VAT in its own account, ready for your VAT return. If your accountant works in other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

Client dinners end up in the VAT we recover, and that VAT is blocked.

Each line keeps its category, so entertainment for guests is set apart before the return.

Invoices over AED 10,000 need our details, and the receipt doesn't have them.

The tax invoice arrives from the mailbox and is attached to the expense.

VAT is only 5%. Nobody keeps the receipts.

Receipts come from the mailbox and the merchant as purchases happen. They're kept without anyone trying.

Before and after

What changes on a UAE receipt.

VAT on entertaining guests is blocked, and invoices over AED 10,000 must be full tax invoices. A card statement shows neither.
