Smartbills keeps each tax on its own line, claiming the GST and HST and leaving the PST you paid in BC or Saskatchewan in the expense.
GST and HST in the claim, PST in the expense
Local receipts carry 5% GST. Receipts from the south carry HST, PST or QST depending on where you bought. Smartbills reads the tax from each line. GST and HST go to the input tax credit and the provincial retail taxes stay in the cost.
- GST kept per line, with the supplier's GST number
- HST from other provinces claimed in full
- PST and unregistered QST expensed
Only GST at home
The three territories charge the 5% GST and no territorial sales tax. For a registered business, the whole tax line on a local receipt is an input tax credit. Smartbills reads it from each receipt and keeps the supplier's GST number with it.
- 5% GST on taxable lines
- Zero-rated basic groceries kept at zero
- Supplier GST number kept with the receipt
Why teams switch
The tax is on the receipt, not the card statement.
We treat every receipt as 5% GST, then a Vancouver trip comes back with PST.
Each tax is kept on its own line. Provincial PST is expensed and only GST and HST reach the claim.
HST from an Ontario conference sits in the expense because nobody knew we could claim it.
HST is recorded as a recoverable tax, like GST. It goes to the input tax credit in full.
Receipts from a week on the road come back months later, if at all.
Receipts come from the merchant and the mailbox as purchases happen, matched to the card line.
Before and after
What changes on a territorial receipt.
In the territories, every local purchase is 5% GST. The trouble starts with receipts from trips south.
| Capability | Card statement and photos | With Smartbills |
|---|---|---|
| GST on local purchases | 5% of the total | The tax each line was charged |
| HST from an Ontario trip | Left in the expense | Claimed in full |
| PST from a B.C. trip | Claimed by mistake | Expensed |
| Getting receipts in | Photos at month end | From the merchant or the mailbox |
