Expense management software for Swedish businesses

Keep the VAT detail and receipt together on Swedish business expenses. Smartbills helps your team review food, dining and entertainment costs before filing.

Smartbills takes the VAT from each receipt line, at 25%, 12% or 6%, and keeps business meals categorized for the deduction limit.

VAT read from the receipt, line by line

Every line keeps the rate it was charged, 25%, 12% or 6%, with the supplier's VAT number when the receipt shows it. The input VAT is built from the receipts, and entertainment is set apart for its limit.

  • VAT kept per line at 25%, 12% and 6%
  • Takeaway and dining in recorded at their own rates
  • Representation set apart

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the way home.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the receipt attached and the VAT in its own account. If your accountant works in Fortnox or Visma, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

Food VAT changed in April and our receipts now carry 6% and 12% for the same lunch.

VAT comes from each line of the receipt, so takeaway and dining in are recorded at the rates they were charged.

Entertainment VAT is claimed in full, then cut back at year end.

Each line keeps its category. Representation is set apart for the per-person limit.

Receipts come back as photos weeks after the trip to Göteborg.

Receipts and invoices arrive from the mailbox and the merchant as purchases happen.

Before and after

What changes on a Swedish receipt.

Since April 2026 the same lunch can carry 6% and 12% VAT, and entertainment VAT has a limit. Old rates and full claims are the usual mistakes.

25% standard rate, 12% on items such as restaurant meals and hotel stays, and 6% on items such as books and passenger transport. From April 1, 2026 to December 31, 2027, food bought in shops or as takeaway carries 6% instead of 12%, while food eaten in restaurants stays at 12%.

Only partly. For representation meals, VAT is deductible on a capped amount per person and occasion, not on the whole bill. Smartbills keeps each purchase categorized so those lines are ready for the limit.

No. Norway is outside the EU, and VAT charged there can only be recovered through Norway's own refund scheme, if at all. Smartbills keeps foreign receipts apart.

Yes. You invite your accountant with their own access, and a firm that manages many clients sees them all from one login, entities included.
