Expense management software for Spanish businesses

Keep the IVA and supplier details with each Spanish business receipt. Smartbills captures receipts from your mailbox or merchant and keeps the document behind the expense.

The Metrópolis building on Gran Vía in Madrid

Smartbills takes the IVA from each receipt line, at 21%, 10% or 4%, keeps the supplier's details and posts the result to the books.

IVA read from the receipt, rate by rate

Every line keeps the rate it was charged, with the supplier's tax ID when the receipt shows it. The deductible IVA is built from the receipts rather than a share of the total.

  • IVA kept per line at 21%, 10% and 4%
  • Supplier tax ID kept with the receipt
  • Client hospitality set apart from deductible spend

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the train.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the receipt attached and the IVA in its own account. If your accountant works in other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

We deduct IVA as a share of every total, and receipts never carry just one rate.

IVA comes from each line of the receipt, so 21%, 10% and 4% lines are recorded as charged.

Half our receipts are tickets without our tax ID, so the IVA can't be deducted.

Receipts and invoices arrive from the mailbox with the supplier's details. The ones that need a full invoice are easy to spot.

Client meals end up in the deduction, then get reversed.

Each line keeps its category. Gifts and hospitality for clients are set apart before the return.

Before and after

What changes on a Spanish receipt.

Spanish receipts rarely carry a single IVA rate, and a simplified invoice without your tax ID won't support a deduction.

A plain ticket usually isn't enough. A simplified invoice supports a deduction when it shows your company's tax ID and address and the tax charged separately. Otherwise you need a full invoice from the supplier.

Generally no. IVA on gifts and hospitality offered to clients, employees or third parties is not deductible. Smartbills keeps each purchase categorized so those lines are set apart.
