Expense management software for Portuguese businesses

Keep invoices with your NIF, IVA and supplier details together. Smartbills helps your team separate hotel, restaurant and other costs before filing.

Smartbills takes the IVA from each line, keeps the supplier's details and categorizes food, drink and hotel spend apart from what you can deduct.

IVA read from the receipt, blocked IVA set apart

Every line keeps the rate it was charged, 23%, 13% or 6%, with the supplier's tax number when the receipt shows it. Accommodation, food and drink, where IVA is generally not deductible, are set apart from deductible spend.

  • IVA kept per line at 23%, 13% and 6%
  • Accommodation, food and drink set apart
  • Supplier tax number kept with the invoice

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the way home.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the invoice attached and the IVA in its own account. If your accountant works in other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

Receipts come back without our NIF, and the IVA on them can't be deducted.

Invoices issued to your company arrive from the mailbox, so the ones missing your NIF are easy to spot before the return.

Hotel and restaurant IVA keeps ending up in our deduction.

Each line keeps its category. Accommodation, food and drink are set apart before the return.

Restaurant bills carry 13% on food and 23% on drinks, and we book one rate.

IVA comes from each line of the receipt. Each rate is recorded as charged.

Before and after

What changes on a Portuguese receipt.

A receipt without your NIF can't support an IVA deduction, and a restaurant bill mixes 13% and 23%. One rate on the total gets both wrong.
