Expense management software for New Zealand businesses

Keep GST, supplier details and each supporting receipt together. Smartbills gives your team a clear record of every New Zealand business expense before filing.

The Auckland skyline and harbour

Smartbills keeps each receipt, its GST and the supplier's GST number together and posts the result to the books.

GST and the records behind it, kept together

Each receipt keeps its 15% GST and the supplier's GST number, name, date and description, which is what taxable supply information requires above $200. Above $1,000, the invoice also has to show your business details, and it's kept on file with the expense.

  • GST kept per receipt, as charged
  • Supplier GST number kept with the receipt
  • Entertainment set apart for the 50% adjustment

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the train.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online or NetSuite with the receipt attached and the GST in its own account, ready for your GST return. If your accountant works in other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

Receipts over $200 need the supplier's GST number, and our card statement doesn't have it.

The receipt comes from the mailbox or the merchant with the supplier's GST number attached.

Client entertainment gets a full GST claim, then an adjustment at year end.

Each line keeps its category, so entertainment is set apart for the 50% adjustment.

Receipts come back as photos weeks after the trip to Wellington.

Receipts and invoices arrive from the mailbox and the merchant as purchases happen.

Before and after

What changes on a New Zealand receipt.

Over $200, Inland Revenue wants the supplier's GST number, and only half of entertainment GST is claimable. A card line shows neither.

What people ask us before they sign up.

15% on almost all goods and services, including most food. Exempt supplies, such as residential rent and some financial services, are the main exceptions.

For purchases of $200 or less, very little is required. Above $200, taxable supply information showing the supplier's name and GST number, the date, a description and the amount. Above $1,000, it must also identify your business.

Only partly. Business entertainment is generally limited to 50%, and the GST claimed on it has to be adjusted to match. Smartbills keeps each purchase categorized so those lines are ready for the adjustment.
