Expense management software for Italian businesses

Keep the invoice, IVA and supplier details together for every Italian business expense. Smartbills captures invoices from your mailbox and keeps the records your team needs to review deductions.

The Duomo di Milano at dusk

Smartbills takes the IVA from each line, keeps the register receipt and the invoice together and posts the result to the books.

IVA read line by line, with the invoice beside it

Every line keeps the rate it was charged, and invoices sent by email are pulled from the mailbox and attached to the expense. The deductible IVA is built from invoices, not from register receipts or a share of the total.

  • IVA kept per line at 22%, 10%, 5% and 4%
  • Emailed invoices attached to the expense
  • Supplier VAT number kept with the document

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the train.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the documents attached and the IVA in its own account. If your commercialista works in other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

Employees bring back register receipts, and the IVA on them can't be deducted.

Invoices sent by email are pulled from the mailbox and attached to the expense, so the register receipt isn't the only document on file.

Hotel and restaurant IVA is deductible with an invoice, and we lose it for lack of one.

Invoices sent by email are pulled from the mailbox and matched to the card line.

Receipts carry several rates, and we book the whole total at 22%.

IVA comes from each line of the receipt, so 10%, 5% and 4% lines are recorded as charged.

Before and after

What changes on an Italian receipt.

Register receipts don't support an IVA deduction. Invoices do, once they're matched to the expense they belong to.

No. Smartbills isn't an e-invoicing provider. It handles receipts and expenses, keeps the invoices it receives by email with the entry, and posts coded expenses to your ledger.

Yes. You invite your accountant with their own access, and a firm that manages many clients sees them all from one login, entities included.
