Expense management software for French businesses

A single receipt can carry several TVA rates. Smartbills keeps the rates, supplier details and supporting receipt together, so your team can review what is deductible before filing.

The Eiffel Tower in Paris

Smartbills takes the VAT from each receipt line, at 20%, 10% or 2.1%, and keeps the supplier's details with it.

TVA read from the receipt, rate by rate

Every line keeps the rate it was charged, 20%, 10%, 5.5% or 2.1%, with the supplier's VAT number when the receipt shows it. Non-deductible categories, like staff accommodation and passenger transport, are kept apart from deductible spend.

  • TVA kept per line at every rate
  • Supplier VAT number kept with the receipt
  • Non-deductible spend set apart

Receipts that arrive on their own

Merchants on the Smartbills network send the itemized receipt when your team pays, and receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt in the car.

  • Digital receipts sent by the merchant at checkout
  • Emailed receipts pulled from the mailbox automatically
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Sage, Xero, QuickBooks Online or NetSuite with the receipt attached and the TVA in its own account. If your firm uses other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

We deduct VAT as a sixth of every total, and restaurant bills are never all at 20%.

VAT comes from each line of the receipt, so 10%, 5.5% and 2.1% lines are counted as charged.

Hotel and train VAT ends up in the deduction, then gets reversed by our accountant.

Each line keeps its category. Non-deductible spend is set apart before the return.

Our team photographs receipts at month end, and half are illegible.

Receipts come from the mailbox and, where merchants are on the network, from the checkout itself.

Before and after

What changes on a French receipt.

A sixth of the total assumes everything was taxed at 20%. A single restaurant bill proves otherwise.

What people ask us before they sign up.

20% standard rate, 10% on items such as restaurant meals and passenger transport, 5.5% on most food and books, and 2.1% on reimbursable medicines and the press. One receipt can carry several.

Among others, VAT on accommodation for executives and staff and on passenger transport isn't deductible. VAT on business meals generally is, when the invoice meets the required conditions. Smartbills keeps each purchase categorized so non-deductible VAT is set apart.

No. From September 2026 every French business must be able to receive e-invoices through an approved platform, and larger businesses must also issue them, with small and medium businesses following in September 2027. Smartbills is not one of those platforms. It handles receipts and expenses, not the exchange of e-invoices between businesses.

Yes. The app, the dashboard, the receipts and the reports all work in French and in English, and each person chooses their language.

Yes. You invite your accountant with their own access, and a firm that manages many clients sees them all from one login, entities included. Our page for accounting firms explains how that works on their side.

Your data is stored in Canada, which the European Union recognizes as providing adequate data protection, and we don't sell it. Access is limited to the people you invite.
