Expense management software for Finnish businesses

Keep the current Finnish VAT rate and supporting receipt with every business expense. Smartbills helps your team separate food, hotel and entertainment costs before filing.

Helsinki Cathedral above the waterfront

Smartbills takes the VAT from each receipt line as charged, at 25.5% or 13.5%, and keeps each purchase categorized.

VAT read from the receipt, line by line

Every line keeps the rate it was charged, 25.5%, 13.5% or 10%, with the supplier's business ID when the receipt shows it. Representation, where VAT isn't deductible, is set apart from deductible spend.

  • VAT kept per line at every rate
  • Representation set apart
  • Foreign VAT kept apart

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the way home.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the receipt attached and the VAT in its own account. If your accountant works in Procountor or Netvisor, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

Our bookkeeping still assumes 14% on restaurant bills.

VAT comes from each line of the receipt, so the 13.5% rate is recorded as charged.

Entertainment VAT keeps ending up in our deduction.

Each line keeps its category. Representation is set apart before the return.

Receipts from Tallinn and Stockholm come back with foreign VAT mixed in.

Foreign receipts keep their own country and rate, apart from Finnish input VAT.

Before and after

What changes on a Finnish receipt.

Restaurant VAT dropped to 13.5% in 2026 and entertainment VAT isn't deductible. A spreadsheet set up in 2025 gets both wrong.
