Expense management software for Danish businesses

Keep the receipt and expense category together on every Danish business purchase. Smartbills helps your team review hotel, meal and other costs before the VAT return.

Boats along Nyhavn in Copenhagen

Smartbills keeps each receipt's VAT and category together, with hotel stays fully deductible and restaurant meals at 25%.

The VAT, and the category that decides the deduction

Every receipt keeps its 25% VAT and the supplier's CVR number, and each line keeps its category. Hotel stays, business meals and entertainment are kept apart. The deduction follows the rule for each one.

  • VAT kept per receipt, with the supplier's CVR number
  • Business meals set apart for the 25% deduction
  • Foreign VAT kept apart

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the way home.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the receipt attached and the VAT in its own account. If your accountant works in e-conomic or Dinero, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

We claim all the VAT on restaurant bills, and only a quarter of it is ours.

Each line keeps its category, so business meals are set apart for the 25% deduction.

Hotel VAT is fully deductible, and we lose it when the invoice isn't in the company's name.

The hotel invoice arrives from the mailbox and is attached to the expense.

Receipts from trips to Malmö come back with Swedish VAT mixed in.

Foreign receipts keep their own country and rate, apart from Danish input VAT.

Before and after

What changes on a Danish receipt.

Only a quarter of the VAT on a business meal is deductible, and hotel VAT needs an invoice. A card statement shows neither.

25% on almost all goods and services. Denmark has no reduced rates, though some items such as newspapers and certain services are exempt or zero-rated.

25% of the VAT on restaurant meals for business purposes, and all of the VAT on hotel accommodation for business purposes, provided the invoice is issued to the company. Smartbills keeps each purchase categorized so the right share is claimed.

Not on the Danish return. VAT charged in Sweden can only be recovered through the EU refund procedure. Smartbills keeps foreign receipts apart.

Yes. You invite your accountant with their own access, and a firm that manages many clients sees them all from one login, entities included.

Your data is stored in Canada, which the European Union recognizes as providing adequate data protection, and we don't sell it. Access is limited to the people you invite.
