Expense management software for Australian businesses

Keep GST and the tax invoice with every Australian business expense. Smartbills gives your team the supporting record they need when they review a claim.

The Sydney Harbour Bridge and Opera House from above

Smartbills takes the GST from each receipt line, GST-free items included, and keeps the supplier's ABN with it.

GST read from the receipt, line by line

Taxable lines keep their 10% GST and GST-free lines keep none, with the supplier's ABN when the receipt shows it. The GST credit is built from the receipts rather than a fraction of the total.

  • GST kept per line, as charged
  • GST-free lines with nothing to claim
  • Supplier ABN kept with the receipt

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the train.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online or NetSuite with the receipt attached and the GST in its own account, ready for your BAS. If your accountant works in MYOB, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

We claim an eleventh of every total, and half our receipts have GST-free lines.

GST comes from each line of the receipt. GST-free items are counted as charged.

Anything over $82.50 needs a tax invoice, and the card slip isn't one.

The receipt or invoice comes from the mailbox or the merchant with the supplier's ABN attached.

Client lunches end up in the GST claim, then come back out at year end.

Each line keeps its category. Entertainment is set apart before the BAS is prepared.

Before and after

What changes on an Australian receipt.

An eleventh of the total is the shortcut most bookkeepers use. It overclaims on every receipt with a GST-free line.

FAQ

Frequently asked questions

What people ask us before they sign up.

10% on most goods and services. Basic food, many medicines and medical products, and some health and education services are GST-free.

For purchases over $82.50 including GST, you need a tax invoice showing the supplier's identity and ABN, the date, what was sold and the GST, before you can claim the credit. Below that, other records such as a receipt are enough.

Generally, you can't claim a GST credit on entertainment that isn't income-tax deductible, which covers most client entertainment. Smartbills keeps each purchase categorized so those lines are set apart before the BAS.

Xero, QuickBooks Online and NetSuite, with two-way sync. If your accountant works in MYOB or other software, coded expenses export to Excel or CSV.

Yes. You invite your accountant with their own access, and a firm that manages many clients sees them all from one login, entities included.

Your data is stored in Canada and we don't sell it. Access is limited to the people you invite.
