Procurement

Procurement

Everything a business does to acquire the goods and services it needs: choosing suppliers, negotiating terms, ordering and managing the relationship.

In short

  • Procurement is broader than purchasing: it includes strategy, sourcing and supplier management.
  • Its goal is best value, which balances price, quality, risk and service.
  • Indirect procurement buys what runs the business; direct procurement buys what goes into products.

Procurement is the function responsible for acquiring goods and services from outside the business. It covers deciding what is needed, finding and evaluating suppliers, negotiating contracts, placing orders and managing supplier performance over time.

Procurement versus purchasing

Purchasing is the transactional part: raising purchase orders and buying. Procurement includes that, plus the strategic work before and after: analyzing spend, running sourcing events, negotiating contracts, managing supplier risk and making sure agreed prices are actually used.

Direct and indirect

  • Direct procurement: raw materials and components that go into the products a business sells. Closely tied to production and inventory.
  • Indirect procurement: everything else needed to run the business, such as software, facilities, travel, marketing and professional services. Often more fragmented and harder to control.

What good procurement delivers

Lower costs are the obvious result, but not the only one. Good procurement also reduces supply risk, keeps the business compliant with policies and regulations, and gives finance a clearer view of commitments before invoices arrive. The best measure is value: the right quality and service at a total cost that makes sense, not just the lowest price on the day.

Worked example

Value over price

A logistics company compares two courier contracts. One is 8% cheaper per shipment; the other has better on-time delivery and handles claims in days rather than weeks. Factoring in late-delivery penalties from its own customers and the staff time spent on claims, the procurement team chooses the second supplier and estimates it will save about $40,000 a year overall.
