Smartbills vs Navan

If most of your receipts come from trips, Navan is the better choice and this page will say so. If they come from suppliers and shop floors, keep reading.

At a glance

Smartbills vs Navan, in one screen

Navan, formerly TripActions, combines corporate travel booking with expense management and a card program. Its strongest claim is that booking and expense really are one product. The cost of a trip is known before anyone files anything about it.

Smartbills

Best for

Teams whose expenses are mostly everyday operating spend, supplier invoices and in-person purchases, with flights and hotels a smaller share.

Where it's stronger

  • Covers the spend that happens every week, as well as the spend on trips.
  • Payables and receivables on the same platform as expenses.
  • Itemized receipts sent through Smartbills.
  • Bilingual, multi-jurisdiction tax handling.

Navan

Best for

Choose Navan if your people travel constantly and you want booking, travel policy and expenses in a single flow for the traveller.

Where it's stronger

  • Travel booking that's truly integrated, which removes a whole category of after-the-fact work.
  • Strong inventory and negotiated rates for travel.
  • A traveller experience well ahead of any general expense tool.
  • If travel is most of your T&E, that integration is worth more than anything on our side.

Moving from Navan

None of this needs a big-bang cutover. Most teams run both tools for one cycle and compare capture rates before switching anyone off.

  1. Split the question in two

Travel booking and everyday receipt capture are separate problems. Plenty of teams keep one tool for each.

  2. Map categories once

Map categories against the ledger you already use, and coded receipts and supplier bills post there from then on.

  3. Start where the receipts are

Roll out capture on non-travel spending first. That's usually where the volume is and where line detail goes missing.

  4. Review after a quarter

After a full quarter, compare capture rate and unreconciled transactions on each side. The first month flatters whatever is new.

FAQ

Frequently asked questions

What people ask us before they sign up.

Yes, and several teams do exactly that: Navan for booking, Smartbills for capture, coding and payables. Either way, the card feeds reconcile on the Smartbills side.

No, and it isn't planned, because travel inventory is a different business. If integrated booking is the requirement, Navan is the right tool.

Then Navan's combined booking and expense is probably worth more to you than merchant-issued receipts. Better to hear that now than three months into a rollout.
