Expense management

The process, and the software, for capturing, approving, reimbursing and recording what employees spend on the business.

In short

  • It covers the whole path: purchase, receipt, policy check, approval, reimbursement or card reconciliation, and posting.
  • The goal is accurate books and fair, fast reimbursement, with as little manual work as possible.
  • It overlaps with spend management, which also covers supplier invoices and purchasing.

Expense management covers everything that happens between an employee spending money for the business and that cost appearing correctly in the accounts. It includes the policy that says what is allowed, the way receipts are collected, the approval chain, reimbursement for personal spending, reconciliation of company cards and the export to the accounting system.

The typical flow

  1. An employee makes a purchase, on a company card or personally.
  2. The receipt is captured and the expense is categorized.
  3. The expense is checked against policy and approved by a manager.
  4. Personal spending is reimbursed; card spending is matched to the card statement.
  5. Approved expenses are posted to the general ledger with their receipts and tax.

Where it goes wrong

Most of the pain sits in steps two and three. Receipts go missing, categories are guessed, approvers sign off on reports they cannot really see, and month end turns into a chase. Good expense management reduces the number of decisions people have to make by hand: receipts arrive on their own, categories are suggested, policy rules run automatically and only exceptions reach a person. The practical steps are in the guide on how to streamline expense management.

Worked example

A small team's month

A 25-person company processes 380 expenses in a month. With manual reports, finance spends about three days collecting receipts and fixing codes. After moving to automatic receipt capture and matching, 340 expenses post without anyone touching them and the remaining 40 exceptions take half a day.
