Smartbills vs Xero

Xero stays your ledger either way. The question is what reaches it, and whether it arrives itemized and already coded.

At a glance

Smartbills vs Xero, in one screen

Xero is a cloud accounting system with bank feeds, reconciliation and reporting. It bundles expense claims and Hubdoc document capture, which it owns. Most small businesses meet receipt capture through Xero itself.

Smartbills

Best for

Businesses where several people spend and line-level tax detail has to survive all the way into the return.

Where it's stronger

  • Documents reach the ledger itemized and coded rather than as an image.
  • Policy, approvals and cards all sit in front of the ledger.
  • Bills and customer payments are handled before anything posts to Xero.
  • Line-level tax categories that survive into the return.

Xero

Best for

Businesses whose claim volume is small enough that the bundled expenses module still copes.

Where it's stronger

  • It is the accounting system: reporting, filing and your accountant's workflow all live there.
  • An app ecosystem that no capture product can match.
  • The bundled claims module costs nothing extra and suits a lot of small businesses.
  • At low claim volume a second system may simply not pay for itself yet.

Moving from Xero

None of this needs a big-bang cutover. Most teams run both tools for one cycle and compare capture rates before switching anyone off.

  1. Keep Xero where it is

There's no ledger migration. Xero stays, and your chart of accounts doesn't move.

  2. Connect the sync

Point Smartbills at the Xero organization you already use and map categories once.

  3. Move capture first

Run receipts and expense claims through Smartbills for a full cycle before changing anything else.

  4. Retire the claims module last

Switch off the bundled module only after coded entries have landed correctly for a month.

FAQ

Frequently asked questions

What people ask us before they sign up.

No. Xero stays your ledger and your accountant keeps working in it. Smartbills posts coded entries into Xero with the receipt attached.

No. Hubdoc collects and reads documents. It does not issue a receipt, apply a spending policy or match a card transaction, which is where the two differ.

For a handful of claims a month, usually yes. It starts to strain once several people spend and somebody has to check every claim.
