Smartbills vs Fyle

Fyle asks for the receipt faster than anyone else in the category. Smartbills would rather nobody had to be asked, because the merchant has already sent it.

At a glance

Smartbills vs Fyle, in one screen

Fyle's standout feature is real-time credit card feeds. Direct integrations with Visa, Mastercard and American Express alert it the moment a card is swiped, and it then prompts the cardholder for a receipt, including by text message reply. Sage acquired Fyle in July 2025 and also sells it as Sage Expense Management.

Smartbills

Best for

Teams that would rather have the receipt arrive on its own than get prompted for it within seconds, and that want payables on the same ledger.

Where it's stronger

  • Where a merchant is connected, no prompt goes out because none is needed.
  • Line-level data straight from the POS, with no OCR pass over a photographed slip.
  • Payables, receivables and cash application on the same ledger.
  • Tax categories and warranty details come from the same record.

Fyle

Best for

Choose Fyle if real-time visibility on your existing bank cards is the requirement, or if you already run Sage Intacct or Sage 200.

Where it's stronger

  • Network-level real-time feeds across Visa, Mastercard and Amex are hard to build, and we don't have them.
  • Text-message receipt submission is the lowest-friction manual capture anyone ships.
  • Universal coverage: it works at every merchant, connected or not.
  • Being inside Sage matters if you already run Sage Intacct or Sage 200.

Moving from Fyle

None of this needs a big-bang cutover. Most teams run both tools for one cycle and compare capture rates before switching anyone off.

  1. Keep your cards

Neither product needs a card migration, so a side-by-side run is cheap to set up and easy to end.

  2. Count the reminders avoided

Count transactions that got an itemized receipt without anyone being asked. That count is the comparison.

  3. Compare data depth

Open five receipts on each side and look for the line items. Ten minutes settles most of the debate.

  4. Extend to payables

Once card capture runs well, move supplier invoices onto the same ledger.

Frequently asked questions

What people ask us before they sign up.

It's sold both as Fyle and as Sage Expense Management since the July 2025 acquisition. Check current naming and packaging with Sage before you compare plans.

No. Transactions come in through card and bank feeds, without network-level alerts. Fyle is faster here, though speed matters less when the receipt is already attached.

It's a real factor and worth weighting. Set it against how much of your spend would arrive itemized without anyone being asked for anything.
