How to choose a receipt scanner app

Most receipt apps read a clear photo well enough. The differences that matter show up after the photo: what the app reads, how else receipts can get in, and where they go next.

What it reads

Some apps stop at the merchant, date and total. If you claim sales tax back, or need to explain a purchase later, look for line items and each tax on its own line. In Canada that means GST and QST, HST, or GST and PST kept apart.

How receipts get in

The camera is only one way in. Check whether you can pick a batch from your camera roll, add PDFs, connect or forward an email inbox, and whether stores can send receipts to the app directly, so fewer of them need a photo at all.

Where they go next

A scanned receipt only helps once it's in your books. Look for direct sync with QuickBooks Online, Xero or Sage, and check that the image travels with the entry so your accountant or an auditor can open it.

Who it's built for

A freelancer, a ten-person team and an accounting practice need different things: one wallet, approvals and expense reports, or many client files. Pick the product built for your case rather than the one with the longest feature list.

What the free plan covers

Free tiers usually cap receipts per month or leave out accounting sync. Check the limit against how many receipts you actually collect in a busy month.

Where your data lives

Receipts show where you shop and what you buy. Read how the vendor makes money, where the data is stored, and whether it's ever sold or shared.

Where Smartbills fits

Smartbills reads the line items and every tax line from a photo, finds the receipts already sitting in your email, and receives receipts directly from stores that send them through Smartbills. It suits small businesses and finance teams in Canada and the US that want all three in one place, with QuickBooks or Xero sync on a paid plan.

FAQ

Frequently asked questions

It depends on how your receipts arrive and where they need to end up. An accounting practice collecting documents from many clients tends to fit Dext, a business on Xero that only needs documents in its books often uses Hubdoc, and a business with a box of old paper is better served by a scanning service like Shoeboxed. If you want line items and tax read from photos, email receipts found automatically and QuickBooks or Xero sync in one app, that's what Smartbills is built for.

Yes. Smartbills includes photo capture on its free plan, and Hubdoc comes with a Xero subscription. Free plans usually cap the number of receipts a month or leave out accounting sync, so compare the limit with your own volume.

Dext and Smartbills both sync with QuickBooks Online, and Shoeboxed and Neat connect to it as well. Check whether the receipt image is attached to the entry in QuickBooks, which matters the day an auditor asks for it.

Some can. Many apps read a single tax total, which doesn't separate the federal and provincial parts. Smartbills reads each tax line on its own, with the registration numbers printed on the receipt, which is what an input tax credit claim needs.

In most cases a clear, complete image is accepted in place of the paper. The CRA and the IRS both accept electronic copies of paper records when the copy is legible and reliable. Records should be kept for six years in Canada and, generally, three to seven years in the US.

For most people, yes. A phone app reads the receipt the day you get it, before thermal paper fades, and files it straight away. A desktop scanner still makes sense for a backlog of paper to archive in bulk, which is what services like Shoeboxed and Neat are built around.

Not the way you'd trust an independent review. What you can check is whether each page names something the competitor does better, whether the claims are structural rather than about plan checkboxes, and whether we tell you when to buy the other product. All three can be verified just by reading.

Because we'd have to copy someone else's price list and keep it current, and comparison pages in this industry are full of figures that were wrong within a quarter. Read the vendor's own pricing page and compare on the plan you'd actually buy, not the headline number, which on both sides leaves something out.

Usually yes, and it's often the right first step. Smartbills reads card and bank feeds and syncs to your ledger, so capture can run in parallel for one cycle while you compare the share of transactions that end up with an itemized document attached.

Tell us which one. We add a comparison when enough prospects raise the same name, and we'd rather write it properly than publish a thin page to fill a slot.

Compare on your own data, not ours.

Connect a card feed and your ledger, run it for a month and count the transactions that ended up with an itemized document attached. That number is the comparison that matters.
