The Free plan is for one person and includes 10 receipt scans a month, at most 5 a day, 250MB of encrypted storage, basic auto-categorization, one expense report a month and transaction alerts, with no credit card and no time limit. Receipts sent by network merchants don't count toward the scans. The Free plan shows ads. When you need unlimited scans, no ads, a connected mailbox, bank feeds, more users or QuickBooks and Xero sync, Professional costs $12.99 CAD per user per month and starts with a 14-day trial.

Smartbills tells you when you get close and when you reach it. Once you've used your 5 scans for the day or your 10 for the month, new scans wait until the next day or month, or until you upgrade. Nothing you've already captured is deleted or locked: your receipts stay in your account and you can still view and export them. Receipts sent by network merchants keep arriving whatever your scan count.

You pay $12.99 CAD a month for each user, billed monthly or annually, and annual billing is 20% cheaper. Admins can add or remove people from the dashboard at any time, with changes prorated automatically. Each user adds 1GB of storage and one bank connection to the workspace, on top of two bank connections included for the company. One connected mailbox is included, and each extra mailbox is $19.99 a month. Every Professional user gets unlimited receipt scans with no ads, AI categorization, automated expense reports, multi-level approvals, budgets, policy checks, bill pay and sync to QuickBooks, Xero or Sage.

Invoicing is an add-on to a paid plan, for $20 a month per workspace. It lets you create and send invoices, collect payments online and send reminders. The Free plan doesn't include invoicing, and invoices you created before keep their history whatever plan you're on.

Professional includes two-way sync with QuickBooks Online, Xero and Sage, and Enterprise adds custom ERP connections to SAP, Oracle and NetSuite. On Professional, GL codes, tax lines, department tags and vendor details are mapped from the receipt data automatically, and you also get full REST API access. Enterprise comes with dedicated implementation support and field-level mapping for multi-entity structures. The Free plan has no accounting sync, but it lets you try receipt capture and basic expense tracking before you upgrade.

Yes. You can move from Free to Professional, or back, at any time from the billing dashboard. An upgrade partway through a cycle is prorated, so you pay only for the part of the month on the new plan. A downgrade takes effect at the end of the current billing period, and your team keeps Professional features until then. After a downgrade, everything you captured stays in your account, and the Free limits apply to new scans, users and connections. Enterprise changes go through your account manager.

Yes. Paying annually saves 20% on Professional: $124.70 CAD per user per year instead of $155.88. Enterprise plans are quoted individually, with annual or multi-year terms. Annual subscriptions get the same 14-day trial and the same features as monthly ones. Only the price and the billing frequency change.

Smartbills accepts Visa, Mastercard and American Express for monthly and annual subscriptions. Professional plans can also pay by ACH (US teams) or EFT (Canadian teams), and Enterprise plans can pay by wire, purchase order or invoicing terms arranged with your account manager. Payments are processed by Stripe, which is PCI DSS Level 1 compliant, and a billing receipt is sent automatically after each payment.

Smartbills Professional costs $12.99 CAD per user per month and includes receipt capture, expense management, bill pay and accounting sync, without asking you to switch to a corporate card. Ramp and Brex tie expense management to their corporate cards: basic expense tracking costs $0, but the free tier depends on card spend on their platform. Expensify's free plan covers 25 receipt scans a month, and Zoho Expense's covers up to 3 users with 20 scans each. Smartbills starts from receipts sent by the merchant rather than photos uploaded by employees, and those merchant receipts are unlimited on every plan, including Free.
