Smartbills vs Spendesk

Spendesk and Smartbills both control spending. A card limit or an approval rule can't show what was bought, though, and that line-by-line record is what Smartbills adds.

At a glance

Smartbills vs Spendesk, in one screen

Spendesk is a French spend management platform that puts company cards, virtual cards for subscriptions, invoice processing and expense claims under one approval and budgeting layer. Most of its customers are European mid-market finance teams, and it integrates with the local accounting systems they already use.

Smartbills

Best for

Teams whose real problem is that the receipt never shows up, or shows up as a photo nobody can code accurately.

Where it's stronger

  • The receipt exists as data before anyone asks for it. There's no chase left to automate.
  • Line-level detail supports tax recovery and warranty claims, beyond a category and a total.
  • Receivables and cash application sit on the same ledger as spend.
  • Loyalty and activation tools give merchants a reason to join the network.

Spendesk

Best for

Choose Spendesk if you're bringing cards, subscriptions and invoice approvals into one controlled European workflow, with mature budgeting behind it.

Where it's stronger

  • A more mature spend-control product: budgets, subscriptions and multi-approver workflows are years ahead of ours.
  • Deep European accounting coverage and VAT handling that we're still building out.
  • Established SEPA payment rails and European banking relationships.
  • If the problem is uncontrolled spending more than missing documents, Spendesk is the better buy.

Moving from Spendesk

None of this needs a big-bang cutover. Most teams run both tools for one cycle and compare capture rates before switching anyone off.

  1. Name the real problem

Is it uncontrolled spending or missing evidence? Spendesk is built for the first, and it's good at it.

  2. Connect ledger and card feeds

Both products read the same card data. Running them side by side for a cycle costs only setup time.

  3. Measure the attachment rate

Measure the share of transactions with an itemized receipt instead of a photo, and compare the two numbers.

  4. Move policy last

Move approvals and budgets last, once capture has held up on real transactions.

FAQ

Frequently asked questions

What people ask us before they sign up.

It can, but it doesn't have to. Corporate cards are part of the platform, and capture also works on the cards you already have. Changing card programs is never a prerequisite.

Not in the same way. Smartbills holds line-level data, which is a better input for a recovery claim, but Spendesk's per-country VAT tooling is more developed today. Check both against the countries you actually file in.

It depends which gap hurts more. Spendesk is ahead on local ledger coverage and VAT tooling, and Smartbills is ahead on whether an itemized receipt exists at all.
