US sales tax on business expenses, as each receipt charged it

Give your team the itemized receipt behind every business expense, not a vague card descriptor. Smartbills captures the receipt, keeps sales tax clear and sends the entry to your accounting software.

Smartbills attaches the itemized receipt to each card transaction, from the merchant or your mailbox, before the IRS asks for it.

The receipt the IRS asks for, attached

For lodging, and for travel, meals and gifts of $75 or more, the IRS expects documentary evidence of the amount, date, place and nature of the expense. Smartbills attaches the itemized receipt to the transaction, with the sales tax on its own line. The substantiation is already in the file.

  • Itemized receipt attached to every card line it can match
  • Sales tax kept per receipt, as charged
  • Business purpose added once, on the report

Sales tax is part of the cost

US sales tax is set by the state and often by the city or county too, and a business can't claim it back the way GST works in Canada. Smartbills keeps the tax line on each receipt as it was charged and books it with the expense. Your US costs show what you actually paid.

  • State and local tax kept as charged
  • Booked to the expense, not claimed
  • Five states with no statewide sales tax

Why teams switch

The tax is on the receipt, not the card statement.

Our card program shows where money went, but the IRS asks for what it bought.

The itemized receipt is attached to the card line, from the merchant or the mailbox, with the line items intact.

Sales tax rates change from one city to the next, and we can't see what we paid.

Sales tax is kept on its own line from each receipt. What you paid in each place is recorded as charged.

Expense reports come in after the 60 days our accountable plan allows.

Receipts arrive as purchases happen. A report is ready long before the deadline.

Before and after

What changes on a US receipt.

For a business expense of $75 or more, the IRS wants to see what was bought, not only where. A statement line can't show that.

FAQ

Frequently asked questions

What people ask us before they sign up.

No. US sales tax is a retail tax set by states and localities, with no input credit. It's part of the cost of the purchase. Keeping it on its own line still matters, for budgeting, audits and spotting tax charged on exempt purchases.

Documentary evidence, such as a receipt, for any lodging expense and for other travel, meal and gift expenses of $75 or more, showing the amount, date, place and nature of the expense. A bank or card statement alone usually doesn't show what was bought.

Generally, business meals are 50% deductible. Because Smartbills keeps each purchase categorized, meals are already set apart when your accountant prepares the return.

Smartbills is built in Montréal, and your data is stored in Canada. It works in US dollars and posts to QuickBooks Online, Xero and NetSuite.

No. Unlike GST, sales tax paid on a business purchase isn't refunded through a return; it's part of the cost. Goods bought for resale are the main exception: a resale certificate lets you buy them without paying sales tax.

Alaska, Delaware, Montana, New Hampshire and Oregon have no statewide sales tax, though some local governments in Alaska charge their own.
