Switzerland

Expense management software for Swiss businesses

Keep Swiss and foreign receipts, VAT details and currencies together in one place. Smartbills gives multilingual teams a clear record behind every expense.

Zurich's old town on the Limmat, with the lake and the Alps behind

Smartbills takes the VAT from each receipt line, keeps the currency and rate on the entry and posts the result to the books.

VAT read from the receipt, line by line

Every line keeps the rate it was charged, 8.1%, 3.8% or 2.6%, with the supplier's VAT number when the receipt shows it. The input tax is built from the receipts rather than a rate applied to the total.

  • VAT kept per line at 8.1%, 3.8% and 2.6%
  • Foreign receipts kept apart from Swiss input tax
  • Currency and rate recorded on each entry

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the train.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online, Sage or NetSuite with the receipt attached and the VAT in its own account. If your fiduciary works in other software, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

We book input tax as 8.1% of every total, and our receipts don't all say 8.1%.

VAT comes from each line of the receipt, so 3.8% and 2.6% lines are recorded as charged.

Receipts from trips to Lyon and Milan come back in euros with foreign VAT mixed in.

Foreign receipts keep their own currency, rate and tax, separate from Swiss input tax.

Our team works in French, German and English, and our expense tool in one of them.

Each person uses the app in French or English, and receipts are kept in the language they were issued in.

Before and after

What changes on a Swiss receipt.

8.1% of every total misses the reduced rates and mixes in receipts paid in euros. Below is the version read from the receipts.

Frequently asked questions

What people ask us before they sign up.

8.1% standard rate, 3.8% special rate on accommodation, and 2.6% reduced rate on essentials such as food, medicines and books.

For purchases up to CHF 400, a receipt without the buyer's name is generally accepted. Above that, the document should identify both the supplier and your company, with the VAT rate and amount.

No. VAT paid in France, Germany or Italy isn't Swiss input tax. It can only be recovered through the refund procedure of the country that charged it, if at all. Smartbills keeps foreign receipts apart so they aren't mixed into the Swiss return.

Xero, QuickBooks Online, Sage and NetSuite, with two-way sync. If your accountant works in other software, coded expenses export to Excel or CSV.

Yes. You invite your accountant with their own access, and a firm that manages many clients sees them all from one login, entities included.

Your data is stored in Canada, which Switzerland recognizes as providing adequate data protection, and we don't sell it. Access is limited to the people you invite.

Get started

Bring a month of Swiss receipts.

Connect a mailbox and a card. Input tax comes in at the rate on each line, and euro receipts stay in their own currency.
