Japan

Expense management software for Japanese businesses

Keep consumption tax and supplier registration details with every Japanese business receipt. Smartbills gives your team the record they need to review each tax credit.

Smartbills keeps each receipt's tax by rate, 10% or 8%, together with the supplier's registration number.

Tax by rate, and the T-number behind the credit

Every receipt keeps its consumption tax by rate, 10% or 8%, and the supplier's qualified invoice registration number when it's printed. What earns a full credit and what earns the transitional share are easy to tell apart.

  • Tax kept by rate, 10% and 8%
  • Supplier T-number kept with the receipt
  • Unregistered suppliers visible before filing

Receipts that arrive on their own

Receipts that arrive by email are pulled from a connected Gmail, Outlook or Zoho mailbox, and merchants on the Smartbills network send the itemized receipt at checkout. The month doesn't end with a receipt hunt, and nobody photographs a crumpled receipt on the way home.

  • Emailed receipts and invoices pulled from the mailbox
  • Digital receipts from merchants on the network
  • Matched to the card or bank line when it clears

Posted to the books your accountant uses

Coded expenses post to Xero, QuickBooks Online or NetSuite with the receipt attached and the consumption tax in its own account. If your accountant works in freee or Money Forward, expenses export to Excel or CSV.

Why teams switch

The tax is on the receipt, not the card statement.

We credit the tax on every receipt, whether the supplier is registered or not.

The supplier's T-number is kept with the receipt. Purchases from unregistered suppliers are visible before the return.

Takeaway and dining in carry different rates, and we book one.

Tax comes from the receipt by rate, so 8% and 10% are recorded as charged.

The transitional credit drops to 50% in October, and we can't see how much it affects.

Receipts without a registration number are easy to find. The change can be sized in advance.

Before and after

What changes on a Japanese receipt.

Under the invoice system, tax on a receipt from an unregistered supplier only counts in part, and takeaway and dining in carry different rates.

10% standard rate and 8% reduced rate on food and non-alcoholic drinks, excluding dining in and alcohol, and on newspaper subscriptions.

Since October 1, 2023, an input tax credit requires a qualified invoice showing the supplier's registration number (T followed by 13 digits), the tax rates and the tax amount by rate. Receipts from registered retailers and restaurants can be simplified qualified invoices.

The transitional credit for purchases from suppliers who aren't registered falls from 80% to 50% of the tax, and it ends entirely in October 2029. Smartbills keeps the registration number with each receipt so those purchases are easy to identify.
